About the Position
The role of the Front Office Assistant/New Patient Intake Coordinator is to facilitate the collection of all relevant medical history prior to the initial office visit with the OC physician. This is accomplished through pre-admission and admission activities. The position requires competency in patient interviews via telephone and in person, medical records review, EMR data entry, and insurance authorizations.

Greet and check in/outpatients and collect any daily balances.
Answer phone calls and transfer when needed.
Go over financials when needed
Collect pharmacy balances for patient medications and call OC Pharmacy for counseling when needed.
Check emails daily.
Scan patient medical records into ARIA.
Update patient demographics when needed.
Check voicemails 2X’s daily
Mandatory cross training in all positions
Ability to lift up to 50lbs
Schedule
Call to schedule and confirm appointments for new and existing patients.
Track and obtain insurance authorizations from referring doctor’s offices for new patients if needed for consultation.
Create new patients in Centrix if the patient is being referred from outside of Oncology Consultants.
Request medical records for new patients.
Print out and scan medical records from OncoEMR into ARIA.
Log new patients into the Patient ID log.
Tasks
Call and follow-up with patients depending on what the task entails.

Possess strong computer skills as well as written and verbal communication skills
Experience with high volume patient flow (60-80 patients in clinic per day)
Ability to work independently – set priorities, multi-task and able to resolve problems.
Maintain confidentiality, adhering to all HIPAA guidelines/regulations
• A qualified candidate is a professional, dependable, flexible and self-motivated person.
• Must have knowledge of health insurance, including HMOs, PPOs, Medicare, Medicaid, etc.
• Must be able to multi-task, possess good computer skills, a good attitude, personable, and flexible.
• Must have knowledge of basic computer software, and the ability to learn billing software and electronic medical records required • Must be able to communicate well with patients and medical staff
• Possess the ability to follow OSHA/HIPPAA guidelines
EXPERIENCE AND EDUCATIONAL REQUIREMENTS:
• Prefer at least 3 years’ experience as front office assistant in health care
• Minimum high school graduation
• Bi-lingual Spanish preferred
